1. Who we are

This website is operated by Valendra. We are the controller of the personal data described in this notice. Contact: marketing@valendra.co.uk.

2. What personal data we collect

  • Contact form and Free Visibility Check. Name, business name, email address, phone number (if given), website address (if given), your message, and whether you have opted in to marketing emails.
  • Clients. Contact details, business information, brand and website content you provide, invoices and payment records.
  • Website use. This website does not use analytics or advertising cookies. Google Fonts is loaded to display our typefaces, which may receive your IP address when the page loads. Our web form provider processes the information you submit; see below.

3. Why we use it, and our lawful basis

  • To reply to your enquiry and prepare a quote — legitimate interests, and steps taken before entering into a contract.
  • To deliver services to clients, and keep accounting records — contract, and legal obligation.
  • To send marketing emails — consent, only where you have opted in, and you can withdraw this at any time.

4. Third parties who process data on our behalf

Our contact and Free Visibility Check forms are processed by Web3Forms, a third-party form-processing service, which delivers your submission to us by email and does not publicly expose it. We also use hosting, email and project-management providers, and professional advisers such as accountants, where relevant. We use AI tools to help produce our work, and we do not enter client or customer personal data into public AI tools without appropriate safeguards. We never sell personal data.

5. International transfers

Some of our providers may process data outside the UK. Where this happens, we rely on UK adequacy regulations or approved safeguards such as the UK International Data Transfer Agreement.

6. How long we keep it

  • Enquiries that do not become clients: up to 12 months.
  • Client and accounting records: 6 years after the relationship ends.
  • Marketing email addresses: until you unsubscribe.

7. Your rights

You can ask us to access, correct, erase or restrict your data, ask us to transfer it, and object to how we use it. Where we rely on consent, you can withdraw it at any time by emailing us. We will respond within one month. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

8. Data we handle on behalf of clients

Where we process a client's customer data on their behalf, for example in a review system or CRM, we act as a processor and agree a data processing arrangement with that client.

9. Security

We use access controls and multi-factor authentication to protect the data we hold. See our Data Protection Policy.

10. Changes

We may update this notice from time to time. The date above shows when it was last changed.
